Job Description

We are seeking a highly organized and results-driven Real Estate Operations Manager to oversee and optimize the daily operations of our real estate business. This role is critical in ensuring smooth workflows, compliance with regulations, and the achievement of strategic goals. The ideal candidate will have exceptional leadership skills, a strong understanding of real estate processes, and the ability to foster collaboration across teams. Responsibilities:

  • Manage lower-level administrative employees and ensure office protocols are followed
  • Organize filing systems and, when needed, help other real estate team members with contracts, such as title exams, title sheets, executing commissions, and coordinating buyer and seller information
  • Arrange for team meetings, appointments, and travel
  • Support other realty departments when necessary
  • Purchase office supplies as needed and maintain office equipment
  • Record all office expenses and invoices, complete basic bookkeeping tasks, and keep up with the monthly budget
Other Key Responsibilities:
  • Workflow Management: Streamline processes across sales, marketing, and finance to ensure operational efficiency.
  • Team Coordination: Act as a liaison between departments, fostering communication and alignment with company objectives.
  • Compliance Oversight: Ensure adherence to local, state, and federal real estate laws and regulations.
  • Financial Management: Develop budgets, monitor financial performance, and implement cost-saving measures.
  • Client, Agent, and Vendor relations: Maintain positive relationships with clients, agents, and vendors to enhance satisfaction and retention.
  • Process Improvement: Identify opportunities for operational improvements and implement best practices.
  • Risk Management: Mitigate risks by ensuring proper insurance coverage and maintaining vendor contracts.
  • Strategic Planning: Collaborate with senior management to set goals and develop growth strategies.
  • Reporting Analysis: Generate reports on KPIs and property performance for informed decision-making.
Qualifications:
  • Real estate license preferred but not required
  • Over 2 years of prior office management experience or similar work experience in a related field
  • Displays strong communication, problem-solving, and time management skills
  • General computer skills with Microsoft Office or similar systems
  • Bachelor’s degree preferred; must have graduated high school, received a G.E.D. or equivalent
  • Associate's degree in Business Administration, Real Estate, or a related field. Or Experience in the Field
  • Proven experience in real estate operations or a similar role
  • Strong leadership and management skills
  • Excellent communication and negotiation abilities
  • In-depth knowledge of real estate laws, regulations, and industry practices
  • Proficient in using real estate software and tools
  • Ability to analyze market trends and make strategic decisions
  • Detail-oriented with strong organizational and problem-solving skills
  • Ability to work under pressure and meet deadlines
