Job Description

LaSalle Network has partnered with a dynamic and fast-paced business law firm, who is seeking a Legal Billing Specialist to join their finance team. The ideal candidate will have a strong background in legal billing, particularly in the business law sector, and will play a crucial role in ensuring the timely and accurate billing of legal services to our corporate clients. This role will involve close coordination with attorneys, paralegals and clients to manage billing processes, track payments and maintain the financial health of the firm.

Legal Billing Specialist Responsibilities:
  • Generate, review and finalize complex client invoices for business law services, including corporate, litigation and transactional matters
  • Accurately enter and track billable hours, expenses and adjustments according to client-specific fee structures and billing agreements
  • Ensure compliance with alternative fee arrangements (AFAs), including fixed fees, hourly rates and success-based fees common in business law
  • Serve as the primary point of contact for corporate clients regarding billing inquiries, providing timely responses to resolve any discrepancies or questions
  • Liaise with in-house legal departments of corporate clients to ensure compliance with billing guidelines and facilitate prompt invoice approval
  • Ensure compliance with specific client billing guidelines, including adhering to Outside Counsel Guidelines (OCGs) for corporate clients
  • Prepare and analyze financial reports related to billing, such as accounts receivable aging, billing progress and collections status
  • Monitor and update billing rates, ensuring compliance with firm policies and client agreements, particularly for multi-jurisdictional matters
  • Monitor and manage the collections process, ensuring timely follow-up on outstanding invoices and maintaining strong relationships with client accounting departments
  • Reconcile payment discrepancies and provide detailed reports to management on collections and outstanding balances, especially for large corporate accounts
Legal Billing Specialist Requirements:
  • Associate’s or Bachelor’s degree in Accounting, Finance, Business or related field preferred
  • 3+ years of experience in legal billing, with a focus on business law, corporate transactions or similar areas within a law firm setting
  • Expertise in legal billing software (e.g., Elite, Aderant, or similar) and experience with eBilling systems used by corporate clients (e.g., Serengeti, Legal Tracker)
  • Familiarity with alternative fee arrangements (AFAs) and corporate billing compliance, including UTBMS codes and task-based billing in business law
  • Strong understanding of business law billing practices, including tracking and billing for large-scale corporate clients
  • Advanced proficiency in Microsoft Excel (VLOOKUP’s, pivot tables), as well as financial reporting tools
  • Exceptional attention to detail, accuracy and time management skills, especially when handling complex transactions and multi-matter cases
  • Excellent written and verbal communication skills, with the ability to effectively interact with attorneys, corporate clients and legal operations teams
  • Ability to manage deadlines and work efficiently in a fast-paced, high-demand legal environment
