Job Description

General Summary: The Technical Specialist Executive Assistant will be responsible for managing the day-to-day operations of the Executive Office. This role will manage both personal and professional technical tasks to support the CEO to include iPhone, apps, and all other digital devices. Functions as an extension of the CEO by anticipating needs and proactively addressing issues with an emphasis on sound judgment, initiative, and confidentiality, with appropriate but minimal direction. This position facilitates efficient execution of the CEO’s daily responsibilities by vetting internal and external requests, directing assignments to appropriate staff, working closely with the CEO’s direct report team. Must be able to interface successfully with internal departments and external contacts using diplomacy and discretion.

Supervisory Responsibilities: This position has supervisory responsibilities.

Essential Job Requirements: All duties performed will be done accurately and in a timely manner.

  • Communicates the CEO’s directives by coordinating and overseeing workflow in a fast-paced, rapidly changing work environment
  • Provide hands-on assistance with the CEO’s iPhone, including troubleshooting, app setup, updates, and other technical challenges.
  • Educate the CEO on new technology features, apps, and best practices for using mobile devices.
  • Manage and organize CEO Dropbox.
  • Help manage communication via email, iMessage, and other messaging apps.
  • Maintain organization of the CEO’s contacts, calendar, and digital files.
  • Assist with the configuration of apps such as social media, news, health monitoring, and productivity tools.
  • Liaise with technical support and service providers on behalf of the CEO for more complex tech issues.
  • Manage the CEO’s email inbox, responding to and organizing messages as needed.
  • Assist in other administrative tasks including scheduling meetings, booking travel, and organizing personal appointments.
  • Maintain confidentiality in all matters and provide a high level of discretion.
  • Assist in setting up and managing video calls, including troubleshooting audio/visual issues.
  • Other duties as assigned.

Education and Training: Minimum bachelor’s degree in business or related field required. Masters preferred. Minimum of 3 years of experience in a healthcare setting required.

Experience: Six to eight years of experience support C-Suite executives required. Patience and excellent interpersonal skills, especially in explaining tech-related matters to non-technical users.

Other Requirements: Computer Skills : Skilled in the use of computers. Knowledge of Word processing software, spreadsheet software, Internet, and database software. Strong technical aptitude, particularly with Apple devices (iPhone, iPad, MacBook) and applications. Proficiency in drop box required.

Work Environment: This role is primarily in an office environment, though there may be periods of time spent in clinic or construction environments depending on projects assigned. Exposure to communicable diseases, bodily fluids, toxic substances, ionizing radiation, medicinal preparations, and other conditions are common to a clinic environment. Exposure to debris, dust, sharp objects, chemicals and electricity are common to construction environments. Gonzaba Medical Group will provide training and appropriate PPE as required to be successful and safe in your work environments.

Mental / Physical Requirements: Requires manual dexterity, sitting, standing, stooping, reaching, kneeling, crouching, bending, walking, lifting up to 15 lbs. without assistance. Close vision and ability to adjust focus. Must be able to work efficiently under pressure.
