Job Description

Are you an organized and proactive professional who thrives in a fast-paced environment? This boutique financial firm is looking for an Executive Assistant to the CEO who can expertly manage administrative operations and high-level executive support. In this role, you will be instrumental in keeping business processes seamless while handling key initiatives with discretion and efficiency. The ideal professional has a strong team spirit, professional delivery and deep understanding of supporting high-level principals.

 

Key Responsibilities:

  • Manage meeting calendars, schedule high-level meetings, and monitor deadlines for the CEO.
  • Coordinate all logistics for domestic travel including detailed itineraries and last-minute changes.
  • Review, edit, and finalize all documents for deals in process and keep track of information in Excel.
  • Deliver exceptional service to all internal and external clients.
  • Using expert communication skills, monitor heavy email usage, including business and philanthropic initiatives.
  • Provide seamless coordination for office operations, including vendor management and liaising with building management.
  • Assist with executive-driven projects, including research, report generation, and business development initiatives.
  • Oversee event planning and execution for corporate functions, fundraisers, and networking events.
  • Organize and maintain critical business records, track deadlines, and prepare polished presentation materials.
  • Handle sensitive information with the utmost discretion and professionalism.
  • Work alongside administrative team members with a humble, team-oriented mentality.

What We’re Looking For:

  • C-suite experience. You have at least two years of experience supporting C-suite executives and working across a tight-knit team. Candidates with a background working on Capitol Hill as Schedulers are encouraged to apply!
  • Tech-savvy professional. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is a must; experience with tools like Zoom, and Salesforce is a plus.
  • Resourceful problem-solver. You excel in troubleshooting challenges and finding innovative solutions.
  • Perfectionist. You are the one to make sure critical details aren’t missed and love to produce quality work.
  • Accessible. You enjoy supporting high-intensity Executives and are available to assist beyond working hours.
