Job Description

Round Hill Search is seeking a Billing & Collections Coordinator for a law firm in the downtown Los Angeles area. The Coordinator will manage billing and collections processes in alignment with the firm’s established procedures and client-specific guidelines. This role focuses on delivering exceptional customer service to the Firm’s attorneys and clients, ensuring accuracy and efficiency in all related activities. A minimum of one to two years of experience in law firm billing is required for this position. Initially, the role will be full-time in their Los Angeles office during the introductory period, after which a hybrid remote arrangement will be available. The compensation for this role will be determined based on the candidate’s skills and experience, within the provided pay range.

Responsibilities:

  • Adhere to the Firm’s billing and collections policies
  • Maintain accurate client billing guidelines, agreements, and collections activity records
  • Prepare and process monthly invoices, ensuring compliance with Firm policies and client-specific guidelines
  • Review and verify the accuracy of bills and required supporting documentation, including expense reports
  • Submit finalized invoices to the appropriate recipients via mail, email, or e-billing systems
  • Monitor invoice status and track the approval process as needed
  • Handle appeals to bills in compliance with Firm policies
  • Process write-offs in accordance with established procedures
  • Provide prompt and effective customer service to internal and external clients, professionally resolving billing or payment inquiries
  • Reconcile accounts receivable and process payments in a timely manner
  • Identify and collect past-due balances through professional communication, including making collection calls while maintaining positive client relationships
  • Manage client accounts, including tracking payment schedules and status updates
  • Maintain detailed records of collection efforts and status, organized by an attorney
  • Assist in preparing and reporting against client budgets
  • Complete ad hoc billing requests as directed by attorneys
  • Support special projects and ad hoc requests from attorneys and the Accounting team
  • Collaborate effectively with the Accounting team to ensure alignment and efficiency

Qualifications:

  • 1+ years of billing and collections experience from a reputable law firm
  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field
  • Excellent communication and interpersonal skills and the ability to work in a collaborative environment
  • Proficiency in accounting software (e.g., QuickBooks, SAP, NetSuite) and Microsoft Office Suite, especially Excel
  • Strong analytical and problem-solving skills
  • Excellent organizational skills and ability to manage multiple tasks

Salary: $25 - $30 per hour / commensurate with your experience and qualifications
