**What You Will Do**
The Associate Laboratory Directorate for Infrastructure and Capital Projects (ALDICP) plans and executes infrastructure and capital projects at LANL. The dedicated and skilled members of the ALDICP team deliver high-quality, cost-effective projects safely, on time and within budget. ALDICP is working on more than 150 infrastructure projects that support numerous stakeholders across the Laboratory. These infrastructure investments are aimed at modernizing our capabilities supporting the nuclear weapons, global security, science and applied energy programs.
ALDICP is seeking an experienced and highly motivated Administrative Assistant to support a group level organization within the Project Controls Division. The ideal candidate will possess strong customer service skills and provide comprehensive administrative support to managers and staff. This role demands a high level of professionalism, self-motivation, and accountability for meeting deadlines and commitments. The Administrative Assistant will also act as a key resource for staff regarding established administrative policies and procedures. The position requires the ability to work cooperatively in a fast-paced and diverse office environment while maintaining a positive attitude and a professional demeanor. The successful candidate must be able to work independently, prioritize tasks effectively, and support special projects and initiatives. This role involves close collaboration with both professional and administrative staff within the division and across the directorate and the ability to interface with executive level leadership internal and external to the organization.
**What you Need - Minimum Job Requirements:**
+ Proven expertise in providing high-level administrative support in a fast-paced office environment effectively managing deadlines, interruptions and shifting priorities with exceptional accuracy and attention to detail.
+ Advanced level knowledge, skills and experience with Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Outlook, Oracle, Concur, MS Teams, WebEx or comparable systems and software.
+ Demonstrated successful experience coordinating calendar management, meeting prioritization and accuracy in completing tasks to ensure optimal productivity.
+ A commitment to quality and excellence as evidenced by exemplary work products.
+ Coordinate and participate in group level meetings including, preparing agendas, developing presentation materials, taking notes and tracking action-items to completion.
+ Excellent oral and written communication skills, demonstrated strong interpersonal skills, and outstanding customer service.
+ Proven ability to take initiative, manage and complete assignments independently with minimal supervision and apply sound judgment to ensure successful outcomes.
**Education:**
The AA-4 position requires position requires a High School Diploma and 5 years related experience; or, an equivalent combination of education and experience directly related to the position.
**Desired Skills:**
+ Knowledge of project management and project controls principles, willingness to gain the ability to audit and facilitate CAM notebook compliance for Project Controls monthly reporting products.
+ Knowledge of the Laboratory organizational structure and administrative support operations.
+ Experience supporting executive level management, ability to communicate and interface with personnel and leadership at all levels.
+ Familiarity with Laboratory business systems.
+ Ability to obtain a Q-Clearance

**Work Location:** The work location for this position is onsite and located in Los Alamos, NM USA. All work locations are at the discretion of management.

**Position commitment:** Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

**Additional Details**
**Directive 206.2** - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
**Clearance: Q** (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
***Eligibility requirements:** To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.
**New-Employment Drug Test:** The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
**Regular position:** Term status Laboratory employees applying for regular-status positions are converted to regular status.
**Internal Applicants:** Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the required period of continuous service, they may only apply for Laboratory jobs with the documented approval of their Division Leader.
